Job Description

  • Produce and distribute correspondence memos, letters, faxes and forms
  • Support senior managers and executive with daily clerical tasks
  • Plan meetings and take detailed minutes
  • Answer phone calls, provide information to callers or connect callers to appropriate people
  • Schedule appointments and update calendar
  • Make travel arrangements and reservation for senior managers
  • Compose and type regular correspondence, like invitations and informative material
  • Greet and provide general support to visitors
  • Support other teams with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings, etc…..)
  • Maintain contact lists
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages, etc…)
  • Handle confidential documents ensuring they remain secure
  • Assist the manager in organizing, planning and implementing a strategy
  • Develop and maintain a filing system
  • Ensure the smooth and adequate flow of information with the company to facilitate other business operations

Job Requirements

  • Proven work experience as an assistant manager or similar position
  • In-depth understanding of office management and daily operations
  • Experience with MS Office
  • Working knowledge of office equipment, like printers and fax machines
  • Excellent verbal and written communication skills
  • Strong organizational skills
  • Proficiency in English
