Job Description

  • Assigns invoice numbers for all export purchase orders and coordinates all activities to assure timely delivery of export items to meet GSF requirements and customer satisfaction. (20%)
  • Expedites the receipt of all required documents including documents from government regulatory and certifying entities. (10%)
  • Works closely with the bank to open the required guarantees:
  1. Hand carries documents requiring signatures to assure that the correct signatures are on the appropriate document.
  2. Assures that the appropriate original documents get to clearing agents to facilitate the clearing process so shipments can be released. (10%)
  3. Reviews receiving documents for cost, sales tax, customs, and other fees or charges, which are entered into the computer; forwards check requests and all supporting documentation to Finance for payment. (10%)
  4. Expedites orders, and follows up on the status of inbound and outbound shipments.
  5. Notifies management of any problems and recommends action needed to assure timely receipt of goods or product.
  6. Reviews invoices for discrepancies, correct product, pricing, and quality; reviews daily reports, correcting price variances, and canceling orders when required, to ensure inventory levels are maintained and customer needs are met. (10%)
  • Functions in a customer service capacity in receiving complaints from customers receiving shipped products.
  • Notifies management of all complaints or problems, and maintains contact with the customer while facilitating resolution to the customer’s satisfaction. (10%)
  • Calculates lead-time for export commodities including correct quantity, books shipping containers, and schedules delivery appointments, verifying approximate date and time for every order to balance the flow of export activities.
  • Traces delinquent deliveries and follows up on late arriving carriers to ensure GSF receives required products on a timely basis. (5%)
  • Tracks late deliveries, customer complaints, and other quality and supply issues to improve customer service and quality. (5%)
  • Calculates item pricing for each product, to ensure accurate information. Investigates and monitors raw materials pricing to ensure GSF obtains fair market prices and to forecast pricing of non-commodity raw materials on a minimum of a quarterly basis. (5%)
  • Performs data entry for purchasing, including change orders and non-standard orders to ensure accurate and complete records.
  • Compiles receipts and reviews monthly; issues check requests for vendor payment. (5%)
  • Sets up, maintains, and updates pricing, key sheets, and vendor correspondence to ensure timely availability of accurate, well organized, and complete files and records.
  • Maintains the database of product and vendor records.
  • Communicates and coordinates with vendors to resolve raw materials, packaging, freight, transportation, delivery schedule, customs, health and/or food safety issues.
  • Assures proper vendor payment. (5%)
  • Routinely informs and communicates with GSF staff to promote smooth operations and to ensure compliance with established inventory procedures and food safety and sanitation policies and procedures.
  • Assists with period-end inventories and variance reports to accomplish GSF objectives and identify areas for potential improvement. (5%)
