About the Job
- Making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems.
- Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
- We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks.
- Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.
Job Description:
- Answer and direct phone calls
- Organize and schedule appointments
- Plan meetings and take detailed minutes
- Write and distribute email, correspondence memos, letters, faxes, and forms
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Submit and reconcile expense reports
- Provide general support to visitors
- Act as the point of contact for internal and external clients
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
- Update and maintain office policies and procedures
- Order office supplies and research new deals and supplier
- Maintains office services by organizing office operations and procedures; preparing payroll; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.
- Completes operational requirements by scheduling and assigning employees; following up on work results.
- Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
- Achieves financial objectives by preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions.
- Contributes to team effort by accomplishing related results as needed
- Exploring various marketing possibilities to establish a global brand.
- Conduct market research to identify selling possibilities and evaluate customer needs.
- Set up meetings with potential clients and listen to their wishes and concerns.
- Collaborate with team to achieve better results.
- Developing & evaluating issues through the study of international policy, standards and reports.
- Candidate should be adept at understanding complex political and socioeconomic information
- Communicate to various partnership requests from different countries.
- Developing research concepts, policy questions, and work plans for papers and reports
- Exploring the company's business model and generate innovative ideas to improvise it.
- Going on ground and exploring company base to get an idea of company business.
Job Requirements
Job Requirements
- Knowledge of office management systems and procedures
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Have previous experience as a Secretary or Executive administrative assistant and familiarity within our industry.
- Excellent time management skills and the ability to prioritize work
- Have an accounting background
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
