Job Description
Main Job Duties:
- Providing general secretarial and administrative support to the chairman & the office.
- Undertaking travel arrangements, including arranging itinerary, visas, flight tickets and hotel reservations.
- Manage the logistical arrangements, office expenses, and other requirements as they come up.
- Typing correspondences, memorandums, official letters, reports and receiving final documents for completeness accuracy and clearness.
- handle all logistics matters including tracking shipment containers from abroad.
- Issuing our import Docs and make sure it’s well prepared.
- ensure that all shipments documents meet imports regulations.
- Documentation i.e. invoices, Certificates.
- follow/monitor the import Order until goods are received as per order requirements.
- Report and communicate Any issues (delay, pricing, quality, volume) to the Line Manager.
- Overseeing arrival of shipments.
- Accurate Data check & entry of documents and records.
- Records all incoming and outgoing data in trackers log sheet system.
- Handle courier services and coordinate the deliveries.
- Prepare and maintain records of respective activities as per the responsibility of Office Admin Coordinator.
Job Requirements
- Bachelor degree at any discipline
- 2 to 4 years of experience in the above competences.
- Fluency in MS Office (Excel, Word, Outlook, PowerPoint)
- Very Good Command of English Language.
- have experience in writing effective business emails in English.
- Good co-ordination skills and ability to operate comfortably in high stress situations.
- Strong interpersonal and communication skills (both verbal and written).
- Ability to work in an organized and methodical manner to meet timescales and deadlines is essential.
- Highly accurate with excellent attention to details.
