Job Description
ROLE AND RESPONSIBILITIES:
Monitor imports from any supply point to our Warehouse in Egypt:
- Send shipping instructions to our suppliers and freight forwarders
- Follow up shipment until CTA at POD + ERP update
- Prepare documentation for import clearance and coordinate with Paris team for bank remittance and payments of local charges
- Coordinate with the warehouse until stock entry
- Coordinate with the clearing agent & bank for all import formalities:
- Liaise with the bank to get FORM#4 for the new shipments, issue all requests and undertakes needed to fulfill the process
- Issue required letters to get public security approvals from the governmental authorities
- Liaise with the bank to perform VAT&WHT tax through e-finance payment
- Ensure that all the above procedures are done immediately to minimize time and speed up the process of customs clearance
- Prepare tracking sheets for all bank charges & transfer for each shipment
- Check clearing documents and charges to be paid + ERP up-date.
- Monitor stock entries and up-date ERP accordingly
- Monitor supply & stock evolution - monthly inventory
- Manage claims related to shipping, packaging, storage, late documentations, delays …
- Coordinate and track all deliveries from WH to customers
- Process customer sales orders (process billing & payment) and local purchases
- Edit all invoicing (sales and purchase)
- Check and update ERP with 1/3 parties invoices
- Update permanently ERP system and guarantee the data accuracy
- Assist the sales manager in tracking all bids in the company system
- Coordinate with all different parties to ensure real-time visibility in supply-chain (SL, shipping agent, transports and storage companies, customers)
- Prepare public security logs and fulfill procedures as required by the governmental authorities
- Prepare tracking sheets as needed to ensure good control of the business (such as customers’ checks, WHT debit notes, …etc.)
Job Requirements
- Ability to prioritize and strong organizational skills.
- Previous experience in international trade and/or logistics is a must.
- Excellent written and verbal communication skills, multi-tasking, initiatives and strong attention to detail required.
- Proficient to fluent English, a second language would be a plus.
- Customer Service oriented.
- Team spirit.
