Job Description
Job Purpose:
Oversee all aspects of event planning and management, with experience planning exhibitions and large business-to-business events.
Responsibilities & Duties:
- Understand requirements and details of each event
- Understand clients' needs and wants
- Meet with clients and coordinate with them regularly
- Creating event proposals and presenting proposals.
- Negotiating Sponsorship deals
- Handling logistics.
- Maintaining a working relationship with vendors and venues
- Planning event aspects, such as venue, food and beverage, etc.
- Delegating event planning tasks to other staff members if necessary
- Coordinating event social programme
- Staying under budget while planning event specifications
- Issuing invoices and collecting payments in a timely manner, and creating comprehensive and readable financial reports
- Managing and overseeing events on the day of, including problem-solving, directing event set-up, communicating with staff, and organising vendors
- Communicating with marketing team to create effective advertisements for each event
- Anticipating and planning for different scenarios
- Offer solutions to resolve problems in a timely manner
- Creating sales opportunities for future events during client liaisons and during events, including possessing a strong working knowledge of the company to further these sales opportunities
- Evaluate event’s success and submit reports
- Planning multiple events at once
Job Requirements
- Fluency in ENGLISH is a MUST (ENGLISH School Graduate)
- 3-5 years of experience as event coordinator/manager or similar role
- Portfolio of successful events
- Proficient in MS Office
