Job Description

Job Purpose:

Oversee all aspects of event planning and management, with experience planning exhibitions and large business-to-business events.

Responsibilities & Duties:

  • Understand requirements and details of each event
  • Understand clients' needs and wants
  • Meet with clients and coordinate with them regularly
  • Creating event proposals and presenting proposals.
  • Negotiating Sponsorship deals
  • Handling logistics.
  • Maintaining a working relationship with vendors and venues
  • Planning event aspects, such as venue, food and beverage, etc.
  • Delegating event planning tasks to other staff members if necessary
  • Coordinating event social programme
  • Staying under budget while planning event specifications
  • Issuing invoices and collecting payments in a timely manner, and creating comprehensive and readable financial reports
  • Managing and overseeing events on the day of, including problem-solving, directing event set-up, communicating with staff, and organising vendors
  • Communicating with marketing team to create effective advertisements for each event
  • Anticipating and planning for different scenarios
  • Offer solutions to resolve problems in a timely manner
  • Creating sales opportunities for future events during client liaisons and during events, including possessing a strong working knowledge of the company to further these sales opportunities
  • Evaluate event’s success and submit reports
  • Planning multiple events at once

Job Requirements

  • Fluency in ENGLISH is a MUST (ENGLISH School Graduate)
  • 3-5 years of experience as event coordinator/manager or similar role
  • Portfolio of successful events
  • Proficient in MS Office
  • Excellent vendor management skills
