Job Description

General Purpose:

  • To keep accurate records for all the daily transactions whilst performing the Income audit function & accounting for all cash collections of the Hotel in accordance with the policies and procedures.

NATURE & SCOPE:

Essential Duties & Tasks:

Income Audit

  • Prepare daily sales report for hotel before 10.00AM & circulate among HODs and the owners.
  • Run the day end and generate required reports by each departments/outlets.
  • To audit all revenue transactions for accuracy.
  • To audit all revenue transactions and confirm techniques and methods used to conform to local standards and meet the policies and procedures.
  • Ensure all revenue transactions recorded are consistent and are performed according to the Hotel standard procedure.
  • Prepare and issue management reports, daily, weekly, monthly, as and when required.
  • Compare income data and post General Cashier’s report consistently, and update the General Ledger.
  • Submit all daily reports, refunds, paid-outs, no show and any other requested report to the management review and sign off.
  • Review Foreign Exchange rates on daily basis & update in the system
  • Ensure daily reconciliation of credit cards & posting to the system.
  • Reconcile the unearned income and balance the cash with the general cashier report and accounts payable.
  • Conduct float counting of all hotel fund holders on regular basis and prepare a monthly float count summary.
  • Advice the department heads on their revenue status and their rebates especially when they are exceeding above norms.
  • Ensure that the rebates and miscellaneous charges have proper backups and authorizations.
  • Review all rates regularly, update them in the system & ensure the accuracy.
  • Review & Audit all discounts given by F&B & other departments.
  • Review the POS system on regular basis. Suggest necessary amendments to the system.

Job Requirements

CASHIERING

  • To collect and count with a witness, the entire content of cashier’s on a daily basis.
  • To record all amounts received in the Cashier Daily Report.
  • To be responsible for the Cash Receipt Book.
  • To issue official receipts for cash received daily.
  • To prepare and record transaction of cash in the Cash Receipt Book.
  • To prepare and check the daily bank deposit.
  • To verify all the deposits are realised into bank account on regular basis.
  • To keep in safe custody all cash received.
  • To supervise and control reception staff to discharge their duties in an effective and efficient manner.
  • To maintain updated register of cash float.
  • To act as a petty cash disbursing agent.
  • To make cash payments after reviewing the petty cash payment request form subject to approval and satisfactory verification of supporting documentation provided as backup.
  • To maintain a register of petty cash advances and regular follow up to ensure petty cash advances are settled within reasonable period.
  • To ensure cash floats are maintained at optimum level to meet business requirements.
  • To maintain all in-house fund at operational level.
  • To reimburse reception for petty cash payments and foreign currency conversion transactions upon approval from the Finance management.
  • To prepare a petty cash reimbursement on regular basis.
  • To reconcile cash clearance account on monthly basis.

Accounting

  • To coordinate and conduct balance sheet reconciliations on monthly basis.
  • Assist the chief Accountant on preparation of financial reports and management information.
  • Assist the chief Accountant on Yearly and Interim Audits.
  • To maintain proper filing and adhere to the record retention schedule as per policy and procedures.
  • To bring matters of importance to the management attention immediately.
  • Perform other related duties as required.
