Job Description
- Contribute to an ERC plan for the Executive Manager office, including administrative processes, aligned with ERC strategies and policies to facilitate efficient and effective administration services.
- Maintain the partnership with ERC stakeholders, and local government offices’ correspondences.
- Perform general administrative duties including faxing, mailing, filing, and other offices
- Liaise and coordinate communication with Governmental agencies, organizations, and entities
- Organize office operations and procedures and policies
- Typing, compiling and preparing reports, presentations.
- Responsible for the effective translation and prompt circulation of government documents to ensure stipulations are compiled.
- Collate data and prepare data analysis to provide management and other internal customers with accurate information and reports for efficient planning and decision-making.
- Schedules and organizes complex activities such as meetings, travel, conferences, and department activities for all members of the department
- Establishes, develops, maintains and updates filing system.
- Retrieves information from files when needed.
- Organizes and prioritizes large volumes of information and calls.
- Sorts and distributes mail.
- Attend and record minutes of meetings.
- Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information
- Acts as a liaison with other departments, including high-level staff.
- Handles confidential and non-routine information.
- Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc
Job Requirements
- Years of experience: 8~10, Experience in Non-profit organization and national societies is an added value
- Strong communication and negotiation skills, with the ability to translate messages to a range of stakeholders across diverse cultures.
- Able to work effectively with diverse cultures and adapt personal style to get the best out of others
- A team player, able to work collaboratively with senior managers, and a variety of other stakeholders, both internal and external.
- The ability to work under pressure while maintaining attention to detail.
- Highly organized with the ability to manage multiple tasks and complex work program within deadlines
- Excellent computer literacy mainly Microsoft Office (Word, Excel, PowerPoint etc.)
- Proficiency in English and French language.
