Job Description

  • Contribute to an ERC plan for the Executive Manager office, including administrative processes, aligned with ERC strategies and policies to facilitate efficient and effective administration services.
  • Maintain the partnership with ERC stakeholders, and local government offices’ correspondences.
  • Perform general administrative duties including faxing, mailing, filing, and other offices
  • Liaise and coordinate communication with Governmental agencies, organizations, and entities
  • Organize office operations and procedures and policies
  • Typing, compiling and preparing reports, presentations.
  • Responsible for the effective translation and prompt circulation of government documents to ensure stipulations are compiled.
  • Collate data and prepare data analysis to provide management and other internal customers with accurate information and reports for efficient planning and decision-making.
  • Schedules and organizes complex activities such as meetings, travel, conferences, and department activities for all members of the department
  • Establishes, develops, maintains and updates filing system.
  • Retrieves information from files when needed.
  • Organizes and prioritizes large volumes of information and calls.
  • Sorts and distributes mail.
  • Attend and record minutes of meetings.
  • Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information
  • Acts as a liaison with other departments, including high-level staff.
  • Handles confidential and non-routine information.
  • Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc

Job Requirements

  • Years of experience: 8~10, Experience in Non-profit organization and national societies is an added value
  • Strong communication and negotiation skills, with the ability to translate messages to a range of stakeholders across diverse cultures.
  • Able to work effectively with diverse cultures and adapt personal style to get the best out of others
  • A team player, able to work collaboratively with senior managers, and a variety of other stakeholders, both internal and external.
  • The ability to work under pressure while maintaining attention to detail.
  • Highly organized with the ability to manage multiple tasks and complex work program within deadlines
  • Excellent computer literacy mainly Microsoft Office (Word, Excel, PowerPoint etc.)
  • Proficiency in English and French language.
