Job Description
- Receives work instructions from the Managing Director.
- Keeps the diary of the visits, meetings and conventions of the Managing Director and Board Members and coordinates between their dates
- Receives phone calls, responds appropriately and transfers them according to their nature.
- Receives visitors and presents them to the Board Members according to their work schedule.
- Types the Board Members ’s correspondence.
- Distributes correspondence and reports -after getting the Board Members’s signature– to the concerned parties according to their instructions.
- Receives and sorts the Managing Director’s incoming correspondence, and presents them to the concerned person, then executes their instructions regarding them.
- Follows up the execution of the Managing Director’s instructions concerning his correspondence, establishes a record for this purpose, and keeps the Managing Director informed about the results of these instructions and actions taken for their execution.
- Sorts and keeps the originals or photocopies of incoming and outgoing correspondence in manner that facilitates their retrieval.
- Keeps records for incoming and outgoing correspondence.
- Keeps data of important customers and key officials to use them in courtesy activities carried out by the company in different occasions.
- Calls and invites all concerned participants for the meetings decided by the Managing Director to ensure holding meetings in due time.
- Keeps and demands stationary required for the Managing Director’s office.
- Participates in committees for selecting secretarial staff, and selects those adequate for hiring.
- Participates in committees specialized in purchasing office equipment and stationary necessary for secretariat work.
- Performs other duties requested by the Managing Director related to his/her job.
Job Requirements
- Relevant University degree (Business Administration or equivalent).
- Very good command of English and French languages (written and spoken).
- Communication skills.
- Microsoft Office skills.
