Job Description

  • Schedule meetings and appointments
  • Coordinate office activities and operations to secure efficiency and compliance with company policies
  • Manage agendas/travel arrangements/appointments etc. for the CEO and the upper management
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Support budgeting and bookkeeping procedures
  • Submit timely reports and prepare presentations/proposals as assigned
  • Ensure that all items are invoiced and paid on time
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Attend and minute all board meetings and arrange for the distribution of the minutes.
  • Maintain the office filing system and all personnel records.
  • Undertake projects and research, which might require contact with external agencies.

Job Requirements

  • Proven experience as an Office Administrator, office assistant or relevant role
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Fluent in both written and spoken English.
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures and basic accounting principles
  • A creative mind with an ability to suggest improvements
