Job Description

Job Summary.

  • Provides administrative support to the MD and performs numerous duties, including scheduling, writing correspondence, emailing, handling visitors, routing callers, and answering questions and requests.

Duties & Responsibilities:

  • Acting as the first point of contact: dealing with correspondence and phone calls
  • Managing diaries and organizing meetings and appointments, often controlling access to the manager/executive
  • Booking and arranging travel, transport and accommodation
  • Organizing events and conferences
  • Reminding the manager/executive of important tasks and deadlines
  • Typing, compiling and preparing reports, presentations and correspondence
  • Managing databases and filing systems
  • Implementing and maintaining procedures/administrative systems
  • Liaising with staff, suppliers and clients
  • Collating and filing expenses
  • Maintain the office condition and arrange necessary repairs

Job Requirements

  • Bachelor’s degree in a Reputable University in Business Administration or any relevant Field.
  • 7-10 years’ administrative experience
  • Strong computer skills and MS Office proficiency
  • Hands on experience with office machines (e.g. fax machines and printers)
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • Discretion and trustworthiness: you will often be part of confidential information
  • The ability to be proactive and take the initiative
