Job Description
Job Summary.
- Provides administrative support to the MD and performs numerous duties, including scheduling, writing correspondence, emailing, handling visitors, routing callers, and answering questions and requests.
Duties & Responsibilities:
- Acting as the first point of contact: dealing with correspondence and phone calls
- Managing diaries and organizing meetings and appointments, often controlling access to the manager/executive
- Booking and arranging travel, transport and accommodation
- Organizing events and conferences
- Reminding the manager/executive of important tasks and deadlines
- Typing, compiling and preparing reports, presentations and correspondence
- Managing databases and filing systems
- Implementing and maintaining procedures/administrative systems
- Liaising with staff, suppliers and clients
- Collating and filing expenses
- Maintain the office condition and arrange necessary repairs
Job Requirements
- Bachelor’s degree in a Reputable University in Business Administration or any relevant Field.
- 7-10 years’ administrative experience
- Strong computer skills and MS Office proficiency
- Hands on experience with office machines (e.g. fax machines and printers)
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- Discretion and trustworthiness: you will often be part of confidential information
- The ability to be proactive and take the initiative
