Job Description

Primary purpose/objective of the job

  • Provides administrative support to company Chairman. The executive secretary will be the primary point of contact for internal and external matters pertaining to Chairman.

Principal accountabilities:

  • Prepare correspondence, reports, and presentations.
  • Arranges Chairman travel, accommodation, itineraries, and all correspondence related to arrangements as needed.
  • Setup accommodation and entertainment arrangements for company visitors.
  • Manages Chairman schedule.
  • Prepare and maintain Chairman's expense report.
  • Create, transcribe, and distribute meeting agendas and minutes.
  • Answer telephones and handle in appropriate manner.
  • Plans/organizes and implements events such as meetings, business lunch/dinner.
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
  • Maintain hard copy and electronic filing system.
  • Sign for courier packages.
  • Prepares information and research for Chairman needs.
  • Coordinate purchase of office supplies.
  • Other duties as assigned.

Supervises:

  • Non.

Liaises with:

  • Executives Managers/Directors.
  • Finance Management.

Job Requirements

Education:

  • Bachelor’s degree or equivalent from a recognized university.

Experience & Skills:

  • 10-15 years proven working experience providing support for upper-level management in related organization (i.e., trading, engineering, contracting)
  • Excellent English writing and verbal communication skills. French language is a plus.
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners.
  • Proficiency in Windows, including MS Word, EXCEL and PowerPoint.
  • Ability to work independently and with professional discretion.
  • Excellent writing, editing, grammatical, organizational, and research skills.
  • Excellent time-management, and problem-solving skills.

Conclusion:

  • To develop and provide a comprehensive administrative support service to the Chairman by proactively overseeing the Chairman’s workload and completing tasks as directed by the Chairman.
