Job Description
Primary purpose/objective of the job
- Provides administrative support to company Chairman. The executive secretary will be the primary point of contact for internal and external matters pertaining to Chairman.
Principal accountabilities:
- Prepare correspondence, reports, and presentations.
- Arranges Chairman travel, accommodation, itineraries, and all correspondence related to arrangements as needed.
- Setup accommodation and entertainment arrangements for company visitors.
- Manages Chairman schedule.
- Prepare and maintain Chairman's expense report.
- Create, transcribe, and distribute meeting agendas and minutes.
- Answer telephones and handle in appropriate manner.
- Plans/organizes and implements events such as meetings, business lunch/dinner.
- Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
- Maintain hard copy and electronic filing system.
- Sign for courier packages.
- Prepares information and research for Chairman needs.
- Coordinate purchase of office supplies.
- Other duties as assigned.
Supervises:
- Non.
Liaises with:
- Executives Managers/Directors.
- Finance Management.
Job Requirements
Education:
- Bachelor’s degree or equivalent from a recognized university.
Experience & Skills:
- 10-15 years proven working experience providing support for upper-level management in related organization (i.e., trading, engineering, contracting)
- Excellent English writing and verbal communication skills. French language is a plus.
- Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners.
- Proficiency in Windows, including MS Word, EXCEL and PowerPoint.
- Ability to work independently and with professional discretion.
- Excellent writing, editing, grammatical, organizational, and research skills.
- Excellent time-management, and problem-solving skills.
Conclusion:
- To develop and provide a comprehensive administrative support service to the Chairman by proactively overseeing the Chairman’s workload and completing tasks as directed by the Chairman.
