Job Description
- Responsible for organizing all of the administrative activities that facilitate the smooth running of an office.
- Designing filing systems; reviewing and approving supply requisitions.
- Organize office operations and procedures.
- Keep management informed by reviewing and analyzing special reports; summarizing information.
- Recording office expenditure and managing the budget.
- Deal with incoming email, faxes and phone calls
- Using a range of office software, including email, spreadsheets and databases.
- Logged all office visitors and scheduled appointments.
- Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
- Attend meetings to record minutes.
- Identify, assess, and inform University Secretary General of internal and external issues that affect the university campus.
- Ensure that university files are securely stored and privacy/confidentiality is maintained.
- Provide support to the Secretary General by preparing meeting agenda and supporting materials.
Job Requirements
- Experience of working in Office Management essential
- Fluent English.
- Proficient user of MS Office.
- Leadership and organizational abilities.
- Interpersonal and communication skills.
