Job Description

  • Responsible for organizing all of the administrative activities that facilitate the smooth running of an office.
  • Designing filing systems; reviewing and approving supply requisitions.
  • Organize office operations and procedures.
  • Keep management informed by reviewing and analyzing special reports; summarizing information.
  • Recording office expenditure and managing the budget.
  • Deal with incoming email, faxes and phone calls
  • Using a range of office software, including email, spreadsheets and databases.
  • Logged all office visitors and scheduled appointments.
  • Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
  • Attend meetings to record minutes.
  • Identify, assess, and inform University Secretary General of internal and external issues that affect the university campus.
  • Ensure that university files are securely stored and privacy/confidentiality is maintained.
  • Provide support to the Secretary General by preparing meeting agenda and supporting materials.

Job Requirements

  • Experience of working in Office Management essential
  • Fluent English.
  • Proficient user of MS Office.
  • Leadership and organizational abilities.
  • Interpersonal and communication skills.
