Job Description
- Organizing meetings and managing databases.
- Organizing company events or conferences
- Ordering stationery and furniture
- Handle traveling file for the team (tickets, hotels & visa).
- Receive phone calls and help the client with their inquiries and deal with correspondence and complaints.
- Dealing with correspondence, complaints, and queries
- Attend the meetings and take notes and send the notes to the targeted departments via mail.
- Preparing letters, presentations, and reports
- Liaising with suppliers and clients
- Implementing office administrative systems
- Manage phone calls and correspondence with clients (e-mails, letters, etc...)
- Maintain electronic and hard copy filing system
Admin Work:-
- Answer and direct phone calls.
- Organize and schedule appointments.
- Plan meetings and take detailed minutes.
- Write and distribute email, correspondence memos, letters, faxes and forms.
- Assist in the preparation of regularly scheduled reports.
- Order office supplies and research new deals and suppliers.
- Maintain contact lists.
- Book travel arrangements.
- Provide general support to visitors.
- Act as the point of contact for internal and external clients.
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
- Drafting letters, memos, faxes and emails.
- Handling calls and digital messages.
- Responsible for handling all Administrative & Clerical work efficiently.
- Responsible for filing, organizing and assisting the CEO Office Manager in maintaining a tidy and updated meetings' calendar
- Greeting and assisting visitors to the office.
Job Requirements
- Excellent communication and interpersonal abilities
- Excellent organizational and leadership skills
- Proficiency in Microsoft Office (Excel, Outlook, Word, and PowerPoint).
- Excellent Command of English language skills.
- Minimum 3 years experiences.
- Presentable
