Job Brief:
We are looking for a reliable Receptionist & office administrator. She will undertake administrative tasks, ensuring everyone has adequate support to work efficiently.
Responsibilities:
- Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
- Answers the phone in a timely manner and direct calls to the correct offices.
- Directs visitors by maintaining employee and department directories; giving instructions.
- Maintains safe and clean office area by complying with procedures, rules, and regulations.
- Coordinates office tasks and activities to ensure office operations run smoothly at all times and to secure efficiency and compliance to company policies.
- Supervises administrative staff (office boys, messengers, and drivers) and dividing responsibilities to ensure optimum performance.
- Tracks stock of office supplies and place orders for stationary and buffet supplies.
- Makes travel arrangements and schedule meetings, appointments and event calendar.
- Keeps track of personnel hiring procedures and documentation
- Create and update records and databases with personnel attendance and leaves.
Job Requirements
- Proven experience as an office administrator, office assistant or relevant role
- Outstanding communication and interpersonal abilities
- Professional and friendly manner
- Excellent organizational and leadership skills
- Accuracy and attention to details as well as problem Solving skills
- Familiarity with office management procedures
- Excellent knowledge of MS Office
- English Language proficiency
- Excellent translation skills
- Qualifications in secretarial studies will be an advantage
- BSc/BA in office administration or relevant field is preferred
- 2 - 4 years of experience
