Job Description
The Office Assistant will be responsible to manage all administration and office support services required. This includes organization of files, scheduling appointments, receiving guests, recording expenses, processing payments, preparing monthly tax reports, making travel arrangements, handling telephone calls, and performing other general office duties and errands. She will report to the Managing Partner.
Job scope includes the following:
- Handling incoming telephone calls and other communication.
- Receiving & greeting clients and visitors as needed.
- Managing the filing system.
- Preparing monthly tax reports.
- Preparing monthly payroll sheet.
- Keeping HR files, attendance sheets, and keeping track of leaves.
- Recording invoices and processing payments.
- Making travel arrangements.
- Helping organize and maintaining office and supervising cleanliness.
- Updating paperwork, maintaining documents & word processing.
- Performing general clerk office duties and errands.
- Maintaining office supplies and stationary inventory.
- Maintaining office equipment as needed.
- Coordinating events as necessary.
- Overlooking the general IT requirements of the office.
Job Requirements
The ideal candidate for the vacancy should be young, dynamic and keen to demonstrate his / her abilities to the fullest, within a small, yet energetic environment. She should possess:
- 1-2 years of work experience is a plus.
- Basic Accounting Knowledge.
- Excellent computer skills (Word, Excel, PowerPoint, Internet Search).
- Good English knowledge.
- Warm personality with strong communication skills.
- Ability to work well under limited supervision.
