Job Description

  • Organizing meetings and managing databases.
  • Organizing company events or conferences
  • Ordering stationery and furniture
  • Handle traveling file for the team (tickets, hotels & visa).
  • Receive phone calls and help the client with their inquiries and deal with correspondence and complaints.
  • Dealing with correspondence, complaints and queries
  • Attend the meetings and take notes and send the notes to the targeted departments via mail.
  • Preparing letters, presentations and reports
  • Liaising with suppliers and clients
  • Implementing office administrative systems
  • Manage phone calls and correspondence with clients (e-mails, letters, etc...)
  • Maintain electronic and hard copy filing system

Admin Work:-

  • Answer and direct phone calls.
  • Organize and schedule appointments.
  • Plan meetings and take detailed minutes.
  • Write and distribute email, correspondence memos, letters, faxes and forms.
  • Assist in the preparation of regularly scheduled reports.
  • Order office supplies and research new deals and suppliers.
  • Maintain contact lists.
  • Book travel arrangements.
  • Provide general support to visitors.
  • Act as the point of contact for internal and external clients.
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
  • Drafting letters, memos, faxes and emails.
  • Handling calls and digital messages.
  • Responsible for handling all Administrative & Clerical work efficiently.
  • Responsible for filing, organizing and assisting the CEO Office Manager in maintaining a tidy and updated meetings' calendar
  • Greeting and assisting visitors to the office.

Job Requirements

  • Excellent communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Proficiency in Microsoft Office (Excel, Outlook, Word, and Power Point).
  • Excellent Command of English language skills.
  • Minimum 3 years experiences.
  • Presentable.
