Job Description

  • The Receptionist is responsible for providing clerical support, coordinating all business functions between the members and corporate office
  • Acknowledge all inquiries at the reception desk in accordance with established procedures, and as it may be directed by the Executive Managers
  • Answer telephones, record and channel information, direct calls to the appropriate individual department, relay messages in a timely, clear, polite, concise and professional manner
  • Maintain a current file/listing of members by name and membership number, emergency phone numbers of personnel, department extensions and key personnel etc.
  • Assist with administrative duties and operate office equipment as directed
  • Maintain confidentiality of all pertinent members’ information to assure member’s rights are protected
  • Sort, distribute, and route incoming mail to appropriate managers, departments, and / or personnel
  • Provide members with all necessary marketing information as directed to promote in-house sales
  • Assist with general clerical and administrative functions.
  • Maintain a safe and secure environment for all staff, members and guests, following established safety standards as outlined in the Safety-First Manual
  • Promote all facilities of the gym in a positive manner and effectively communicate the organization’s values to members, visitors, co-workers and the community
  • Encourage teamwork through cooperative interactions with co-workers and other departments
  • Support a positive and professional image through actions and dress code
  • Responsibilities in case of disaster or emergency
  • Handle incoming calls and assist in communication functions
  • Maintain current roster of relief personnel at front desk and co-ordination with others
  • Perform all other duties as assigned
  • Ensure an accurate attendance record for all employees and provide information to relative department for control function
  • Booking Massage, Spinning classes and other required reservations or appointments
  • Maintain complete knowledge and comply with gym’s departmental policies and procedures
  • Greet each guest with a warm welcome and fond farewell
  • Accommodate all members request expediently and courteously
  • Handle all members and guests’ complaints and insuring their satisfaction
  • Successfully comply with all the training / certification process as required
  • Notify Assistant General Manager with all maintenance needs
  • Perform any task deemed necessary by management
  • Review membership list and be familiar with all member’s names
