Executive Assistant to Chair
Purpose:
The jobholder is responsible for providing administrative and financial support to ensure that services are provided in an effective and efficient manner.
Principal Accountabilities:
- Access SAP operations
- Prepare a list of all items for annual inventory
- Responsible for department’s physical and capital equipment inventory
- Responsible for department’s budget under the supervision of the executive assistant to chair
- Handle teaching assistants’ load and schedule their office hours and meetings
- Request every semester’s textbook orders and separate book requests
- Handle all issues related to the exemption exam and record the results every semester
- Responsible for any access requests or books related to the library
- Create and maintain appropriate filing system and process all the departmental print shop job orders
- Access the Banner System for registration and print the class lists
- Responsible for tracking the transfer credit system and recording the final result
- Handle all field trips through semester and coordinate reservations with the travel office
- Handle the daily office work, such as handling AUC ID and activation requests and Audio Visual equipment reservation with CTMS
- Responsible for reservation of halls and rooms for all faculty members and TAs
- Coordinate the departmental events in terms of the following: Organizing food catering, organizing transportation (air tickets and cars), organizing hotel reservations, distributing invitation letters, design name tags and labels, and halls reservation
- Perform all other duties assigned by the executive assistant to chair
Job Requirements
Requirements:
Minimum education requirement: Bachelor’s degree
Experience: Minimum three to five years of experience in a relevant function
Skills:
- Excellent written and spoken English
- Excellent knowledge of Computer skills (Microsoft office)
- Hands on the SAP budget system Ability to work independently and take initiative
- Results-oriented and able to work effectively within a team
- Excellent organization, planning and administrative skills
