Job Description
Will be responsible for :
- Task Sheets
- Review all company’s task sheets on daily basis and communicate the ones that are not update with the Administration/ Operation Manager
- Update own task sheet on daily basis
- Calendars
- Regularly update the Retail Life Cycle Calendar with dates related to important events , marketing campaigns…
- Communicate with all departments on weekly basis to get all needed calendar updates
- Database
- Regularly update the company’s database (suppliers, corporate customers, business to business, maintenance workers…) in the Dropbox folder
- Communicate with all departments to get all the contacts that they are dealing with through their work
- Meetings
- Prepare all documents required for meetings
- Prepare meeting agendas in coordination with the team
- Book, prepare and organize the meeting room prior to any meeting
- Research and reserve venues for external meetings according to the agreed budget
- Take minutes of meeting
- Send minutes of meetings to all concerned parties within 1 working day of the meeting
- Forms and Templates
- Update and organize company forms and template library
- Make sure that all departments use these forms
- Have hard copies sent out to stores so that they can have direct access to them (loan request, leave form, petty cash request…)
- Special Projects
- Help out in special projects
- Follow up on project management sheets
- Announcements and Memos
- Write formal announcements and memos to be circulated within the company
- Translation
- Translate documents from English to Arabic and from Arabic to English
- Presentations
- Work on power point presentations for the company (Training, proposals…)
- Office Supplies
- Handle the purchase of office supplies
- Monitor the inventory of office supplies
- Filing System
- Handle all hard copy and soft copy filing of all employees documents, leaves, formal requests…
- Update file maps of all Dropbox files and make sure that employees are regularly following these maps
Corporate Service:
- Help in any tasks needed in ZZ Corporate Service
Events :
- Help out in events
Job Requirements
- Bachelor degree
- Fluent Arabic and English, written and spoken
- 1 to 3 years of experience in administration and/or office management
- Proficiency in MS office
- Familiar with scheduling appointments and calendar operations (e.g. using Google calendar, WRIKE, etc,)
- Reliability and discretion
- Time management and multi-tasking and organizational skills
- IT skills
