Job Description

SETS North Africa is seeking a qualified Administrative Assistant/ Document Controller to join our Cairo Office. The Administrative assistant / Document Controller is responsible for the management and control of all documents, including reports, presentations, drawings, maps, correspondences, etc. that are received, created or issued as part of the project.

Duties and responsibilities:

  • Process routine documentation and information, according to defined procedures, in order to support ongoing departmental activities.
  • Write and issue standard letters on routine matters as directed by managers and/or other senior colleagues.
  • Screen incoming mail and telephone calls, redirect correspondence and callers to appropriate people and/or departments where required, obtaining additional information where necessary.
  • Arrange meetings, take minutes and keep notes for the assigned manager, as needed.
  • Control and maintain documentation by managing the receipt, recording, distribution, retrieval and archiving of all records and project data including drawings, specifications and information received, in a fast-paced environment and in various formats (Word, pdf, Excel, Visio, MS Project, CAD, REVIT, Outlook mail, etc.).
  • Develop and maintain an accurate filing system for all project related documents.
  • Assist and support in delivering the documents to appropriate stakeholders.
  • Disseminate, monitor and track incoming & outgoing documents.
  • Ensure the smooth running of the project document control and information flow administration.
  • Maintain and monitor the project team access and ensure continued security to the electronic document, including internal and external project stakeholders.
  • Maintain files and control logs as required by the project.
  • Carry out all day to day activities within the Document Control system such as uploading, single and batch, printing files and archiving project documents and drawings in line with SETS Intl. quality assurance system and procedures.
  • Other assigned duties, as requested.

Job Requirements

  • Bachelor’s degree in Business Management or any other related field.
  • 2+ years of experience in document management.
  • Strong computer skills with the ability to use MS Office with proficiency (Word, Excel, PPT, and Outlook).
  • Strong written and verbal English and Arabic communication skills.
  • Strong organizational skills.
  • Fast learner/responsive/ responsible.
  • Strong attention to details; ability to keep clear and accurate records and reports; ability to organize workload and to manage filing methods and management techniques.
