Job Description

We are looking for a responsible Executive Assistant to perform clerical tasks in a well-organized and timely way. You will need to act proactively and without guidance while understanding the needs and characteristics of people with whom you work with.

The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and presentations and assist the executive with any necessary meeting preparations.

Responsibilities:

  • Be the point of contact between the executives and company employees/clients and manage information flow.
  • Manage executives’ diaries and arrange their daily schedule (set up meetings, travel, speaking engagements).
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Screen and direct phone calls and distribute correspondence
  • Devise and maintain office filing system
  • Calendar management for executives
  • Aid executive in preparing for meetings
  • Responding to emails and document requests on behalf of executives
  • Draft slides, meeting notes and documents for executives
  • Research and consolidate data
  • Handle all incoming and outgoing guests travel logistics
  • Translation tasks as required
  • Special projects as needed
  • Provide personal support to the CEO and his family including Travel arrangements, bill payments...etc.

Job Requirements

  • Experience from 3 to 5 years.
  • Fluent in French & English with strong written and verbal communication skills in English & Arabic.
  • Proficient in Microsoft Office suite and comfortable with IT tools.
  • Experience in managing multiple priorities, administrative coordination, and logistics.
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills.
  • Effective interpersonal communication style particularly with Board members, executives and senior level staff.
  • Passionate, enthusiastic, team player, with good judgment and an ability to work in a fast-paced environment and adapt quickly to changing needs and priorities.
  • Strong ability to relate to people at all business levels.
  • Presentable with high level of professionalism.
