Job Description

We are looking for an HR & Admin Officer to join our team and support the day-to-day activities of our Human Resources and support services.

HR & Admin Officer/Manager responsibilities include Planning, managing, and coordinating human resource management activities (such as employee compensation, recruitment, personnel policies, and regulatory compliance) and directing administrative and support services matters of the Company.

Administration and Support Services section :

  • Directs, organizes and controls the Administration Personnel to carry out all Administration/ Support Services activities.
  • Verifies that all Administration works are in accordance with company policies and standards
  • Provides assistance to the Regional Manager on all administrative and support services matters.
  • Oversee employee services such as medical insurance, opening of bank accounts, Hotel reservations, booking air tickets and accommodation.
  • Purchases general items: stationery, cleaning supplies, Buffet Materials, etc., establishing policies, procedures, and work schedules

Recruitment and Selection

  • Conduct job analyses to establish specific requirements of individual jobs.
  • Recruit HR utilizing different suitable recruitment source within the organization or through recruitment offices, ads, company website, employment fairs, etc.
  • Carry out CV screening and coordinate with relevant technical unit to select candidates for interviews.
  • Coordinate with candidates to fill Application Forms
  • Coordinate interviews meetings and manage HR interview with candidates
  • Create a pool of suitable candidates for future employment to meet the employment demands of the business.

Staff Appointment & Start up

  • Prepare Job Offers and collect candidate acceptance.
  • Contact and coordinate with the candidates concerning their offers and starting date
  • Prepare and finalize Employment Agreement.
  • Ensure compliance with any applicable statutory and regulatory requirements such as labor law
  • Coordinate the opening and closing of employee’s social insurance files.
  • Provide necessary orientation for new employee.
  • Coordinate the provision of Staff Number, e-mail ID and Business Cards.

Staff Compensation & Benefits

  • Coordinate with HR & Admin. Manager to design and implement compensation and benefit systems for all employees.
  • Administer various employee benefit programs, such as medical insurance and retirement plans, if any.
  • Issue salary adjustment or raise notification

Staff Training and Development

  • Collect annual training needs.
  • Set annual training plans.
  • Maintain budget for training functions
  • Communicate with external training providers.
  • Conduct orientation session for new appointed employees.
  • Supervise and manage the training evaluation system.
  • Search for new training courses and training providers.
  • Maintain training and development records.

Staff Services

  • Prepare Human Resources letters for banks and authorities.
  • Prepare Experience Certificates.

Attendance Control

  • Review biometric system reports on daily basis
  • Report to CEO on the status of staff attendance with highlights of major observations and recommendations.

Leave of Absence Management

  • Setting annual leave plans for the Company.
  • Keeping track and maintaining employee’s vacations and leaves status/records.
  • Ensure that leave applications are properly filled, approved and promptly submitted.

Job Requirements

  • A university degree
  • 7-10 years work experience as an HR & Admin Officer, HR Administrative Assistant or similar role
  • Comprehensive knowledge of labor law
  • Good verbal and written communication skills
  • Ability to work flexibly and switch between different levels of responsibility
  • Ability to organize, prioritize and schedule work assignments
