Job Description

Main Duties:

  • Receiving customers and visitors and facilitating their interview with the General Manager, as well as receiving telephone calls, faxes and emails, and recording them in the register of receipts in the absence of the General Manager.
  • Receiving correspondence received by direct delivery or through the Foundation's postal box and giving it the serial number and date from the entry in the correspondence records.
  • Transferring correspondence to the competent authorities after presenting them to the Director General or his authorized representative.
  • Follow-up correspondence received by the Director-General to ensure that the necessary procedures are taken and returned to the file as specified.
  • Responding to correspondence in accordance with instructions or orders of the Director General, whether internal correspondence relating to the institution or correspondence to entities outside the institution.
  • Preparation of correspondence issued by the institution ready for delivery after giving it the serial number issued by the registration records.
  • Save images from outgoing correspondence by sequence of number and date in the public output file.
  • Save a copy of the correspondence issued with its initials and attachments to the special file according to their nature.
  • Keeping the internal correspondence and documents of the General Manager with special files according to their nature and in an organized manner.
  • Preparing, printing, processing and distributing circulars and administrative orders in accordance with the directives of the Director General.
  • Follow up the implementation and delivery of all reports and administrative orders to various departments within the institution, including for presentation to the Director General and to inform his guidance.
  • Perform any other tasks that may be assigned by the Director General.
  • Arrange the archives of the Secretariat and responsible for the full responsibility and all documents, files and documents of the assets of the institution delivered to him.
  • Continuous follow-up of document dates for the institution requiring renewal.
  • The tasks and instructions for organizing and arranging the meeting of the senior management staff (the general manager and the assistance)
  • Printing the letters issued by the establishment to others, organizing and coordinating the receipt and delivery of the incoming and outgoing mail from the institution and distributing it to the departments and departments in them and follow up the implementation of decisions and recommendations issued by officials in the public administration
  • As well as organizing and receiving incoming guests to the institution and scheduling their meetings according to the coordinated and organized dates and according to the instructions of the officials
