About the Job
  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Represents the executive by attending meetings in the executive's absence; speaking for the executive.
  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
  • Provides reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
  • Produces reports, presentations and briefs.
  • reviews operating practices and implement improvements where necessary
  • interacts with external clients
  • Conducts research, collect and analyses data to prepare reports and documents.
  • Coordinate executive communications, including taking calls, responding to emails and interfacing with clients.
  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Acting as the point of contact between executives and employees/clients.
  • Prepare internal and external corporate documents for team members and industry partners.
  • Schedule meetings and appointments and manage travel itineraries.
  • Completes projects by assigning work to clerical staff; following up on results.
  • Represents the executive by attending meetings in the executive's absence; speaking for the executive.
  • Maintain an organized filing system of paper and electronic documents.
  • Create regular reports and update internal databases.
  • Review and recommend changes to our company policies.
  • Take dictation and minutes and accurately enter data.
