Job Description

Primary purpose of the job:

  • Coordinate sales activities, typing letters, quotations, invoicing, filing and data entry and executing all works related to Heavy Equipment Department.

Principal Accountabilities

  • Ensure that sales staff provided with all necessary information to enable them to direct and control selling efforts.
  • Writing all correspondence Letters, E-mails,& faxes.
  • Create and maintain an appropriated record and customer files (correspondence to and from clients, quotations, call reports)
  • Co-ordinate the dairy and schedules arrangements for the staff
  • Coordinate the arrangements for internal & external meetings and assembles appropriate material for meetings and conferences.
  • Take dictation and transcribe from shorthand external and internal correspondence and reports.
  • Preparing technical and financial offers and tenders documents.
  • Responsible for invoicing, distribution of invoices, and maintaining a register of invoices.
  • Responsible to keep an up-to-date record of expected sale and invoiced sale with complete details i.e. customers, net price, discount% etc
  • Preparing weekly reports, monthly Sales reports, and Sales Engineers Performance reports.
  • Follow up the tender sites
  • Following company QMS requirements.
  • Request office tools for the department.
  • Prepare reports of checks expected to be collected and sent it to the Financial Department.

  • Self-achievement of objectives
  • On time and 100% accuracy of salesman performance report lost sales report , Market activity reports.
  • Implementation of Direct Manager instructions

Job Requirements

Education

  • Bachelor of Arts English Section or any equivalent.

Experience

  • 1-3 years of experience in administrative and secretarial work.
