Job Description
SUMMARY
- The Administrative Assistant is responsible for providing administrative support to a department. Duties include general clerical, receptionist and project-based work.
Responsibilities and duties
- Arranging and maintaining office supplies – vendor selection and management for all office supplies.
- Coordinates and arranges internal and external meetings for the team including meeting room reservations, catering ect.
- Liaises with the company’s appointed travel agent or self in terms of arranging all bookings, visas and accommodations related to domestic and international travel for the team.
- Write and distribute email, correspondence memos, letters, faxes and forms.
- Submit and reconcile expense reports.
- Dealing with governments and logistic issues.
- Arrange for outgoing mail and packages to be picked up.
- Support the various business events.
- Project a professional company image through in-person and phone interaction.
Job Requirements
- Bachelor’s or university degree preferred, or equivalent combination of education and relevant work experience.
- Fluent in English and Arabic, plus any other languages (e.g.French) an advantage
- Proficient in Business Report Writing in both languages Arabic and English.
- Excellent communication (oral and written), presentation, interpersonal and negotiation skills.
- A minimum of 2 years’ experience of working in a project environment.
- Ability to operate with self-initiative in ambiguous/dynamic situations.
- Ability to accommodate changes in roles and responsibilities and organization change.
- Good organizational, time management, problem-solving skills and the ability to work accurately and meet deadlines with frequent interruptions.
- Expertise level of knowledge in Microsoft Office applications and other softwares as required by division.
