Job Description

Job title: Administrative Assistant

The IG Club is one of the leading businesses in the market of British international education among schools across Egypt and looking to widen the market share to work in more countries in the MENA and GCC regions.

The IG Club is one of the top organisations serving the community of British curriculum school students and parents in Egypt, providing them with academic advising, counselling, and a plethora of extracurricular activities that help students develop important skills.

Objective

To serve The IG Club customers by receiving calls, making calls and following up to ensure that adequate service is provided , in addition to carrying administrative duties related to the different projects managed by The IG Club.

Job description:

The admin assistant is responsible for:

  • Manage all programmes held by The IG Club on and off premises which includes all courses and training sessions in addition to exhibitions and conferences.
  • Assist CEO with all administration work and operations
  • Arrange all database records and documents in order that facilitates team operations
  • Follow up with customers, partners and suppliers
  • Assist CEO in public relations and events duties.
  • Assist educational programmes officer and CEO with special programmes offered.
  • Meeting the administrative needs of the office independently, with a minimum of intervention
  • Coordinating the work of support staff at the office
  • Ensuring that administrative regulations are complied with The IG Club rules and regulations
  • Managing events, workshops and conferences.
  • Answer phone calls on The IG Club Hotline.

Tasks:

Coordination:

  • Ensures that information is exchanged between programme staff, partners and other institutions
  • Prepares and organises meetings.
  • Prepares schedules, attendance sheets and material for courses organised by The IG Club.

Administration:

  • Is responsible for organising administrative and logistical aspects of project activities (meetings, workshops etc.)
  • Takes minutes during meetings and workshops
  • Manages incoming and outgoing correspondences and prepares letters upon request

Event Management:

  • Prepares proposals for the design of workshops and events.
  • Manages all logistical aspects of events and workshops.
  • Work on RSVPs and guests lists

International programmes:

  • Make bookings with coordination with the travel agent.
  • Collect different documents required by The IG Club from students traveling.
  • Follow instructions of the international programmes coordinator and coordinate different tasks provided.

Other duties/additional tasks:

  • Performs other duties and tasks at the request of management, which may not be explicitly mentioned in this job description.
  • Substitutes for other administrative staff members during their absence

Work location: The IG Club Office

Working days and hours: 5 days per week which might include weekends based on rotational schedule each month.

Payment: A competitive package shall be offered upon interview based on experience and qualifications.

Job Requirements

Required skills:

  • From 0 to 2 years of experience
  • ICT Skills (Microsoft office) advanced user.
  • Mastering both English and Arabic languages.
