Job Description
Position: Logistics Section Head
Reports To: Operations Manager
Job Purpose:
The Logistics Section Head is responsible for facilitating all materials, equipments,
course needs including “ manuals ,Hotel booking , transportation” & providing
support for Training Coordination & Instructors and ensure that company services
are provided in an effective and efficient manner
Main Tasks:
- Provide office support services
- Performing logistics duties
- Supporting Training Coordinator
Key Activities:
1- To Provide Office Support Services
- Supervising all logistics section head assistant duties according to his JD
- Supervising Office boy
- Coordinate the repair and maintenance of office equipment
- Manage consultants requirements before the beginning of course
- Issuing Invoices
- Control & Manage Petty Cash including:
-
- Request for monthly petty cash
- Fixed monthly & daily expenses
- Invoice payments for non fixed monthly expenses
- Payments requests for freelance Instructors
- Manage Settlements with Senior Accountant including petty cash
- Reviewing supplier’s invoices before passing it to finance
- Monitoring Purchasing Cycle and tracking PO system
- Responsible for safety & IT inside the office
2- Performing Logistics Duties
- Responsible for flight bookings regionally
- Review travel agent invoices before passing it to finance
- Responsible for Qatar logistics issues including Manuals
- Hotels & Transportation “ 2.2.4 Assisting in Oman’s project including Instructor schedule and time sheets
- Preparing courses backing list
- Manage Supplier’s deals
- Handling & following up all arrangements & client’s requirements including equipment rent for trainings / practical training out side the office
3- Supporting Training Coordinator
- Support in searching for Instructors for unusual courses and provide their CV’s and Course Outlines
- Assist in induction given to participants before the start of the course
- Assuring of all preparations required before the start of the course
- Dealing with freelancers including determining their daily rate & course duration and dates & modify materials according to Safety24/7 format
Quality System:
- Abide to all company policies and procedure in a way professionally help company achieve its goals and objectives. Reports all positives and negatives immediately to the management.
