Job Description

  1. Greet visitors and directing them to the correct person or department.
  2. Keeping the reception area tidy.
  3. Answer public enquiries.
  4. Assist in the planning and preparation of meetings, conferences and conference telephone calls.
  5. Direct visitors and candidates to the appropriate department or staff.
  6. Update appointment calendars and schedule meetings/appointments.
  7. Maintain an adequate inventory of Reception supplies.
  8. Redirect calls as appropriate and take adequate messages when requires.
  9. Receive, sorts and forwards incoming mail.
  10. Coordinate the pick-up and delivery of express mail services (FedEx, etc.) and directing them to suitable person or department.
  11. Sort and distribute posts.
  12. File and keep record of activities in the office for easy retrieval and review when due, and send it to the relevant department personnel.
  13. Inform When necessary relevant staff of visitors’ arrivals and/or cancellations of appointments.
  14. Provide administrative services for the Executive Directors in coordinating with Office Manager.

Job Requirements

  • A Bachelor degree.
  • 1-3 years of clerical experience.
  • Fluent in English speaking, writing and listening.
