Job Description
- Supervise the day-to-day task assignments and performance for all management and associates.
- Plan and prepare work schedules and coordinate daily assignments and activities of associates to meet the business needs.
- Track and follow up the progress of weekly, monthly, quarterly and annual objectives regarding the managers.
- Organizing and maintaining daily tasks and making appointments, dealing with incoming email and post, often corresponding on behalf of the manager.
- Assist in the evaluation regarding the manager’s semiannual appraisal.
- Attend with the General Manager Most of the meetings, take notes and write minutes of meeting.
- Follow up and filling all contracts, deadlines regarding the manager’s tasks.
- Surfing and searching through the internet as per General Manager Needs
- Other duties as assigned by General Manager and all board members.
- Assist Operation Manager in all possible works like in meetings, preparing documents and presentations.
- Assist in setting appointments and organizing agenda, minutes, and resolutions for meetings.
- Assist in planning and preparation of meetings, events, and conferences.
- Communicate and handle incoming and outgoing communications.
- Provide administrative services for the managers.
- Book tickets, accommodations and arrange travel matters.
- Prepare letters, presentations and reports.
- Implement and maintain procedures/office administrative systems.
- Work with internal and external contacts at all levels to fulfill the above duties
Job Requirements
- Minimum 5 years’ experience.
- University degree in a relevant field (, Business Administration, Accounting, Mass Communication)
- Excellent verbal and written communication and planning skills.
- Fluency in spoken and written Arabic and English.
- Excellent knowledge of administrative and office management duties (including filing, writing official letters, memos, minutes of meetings).
- Proficient use of spreadsheets, word processing, statistical and database analysis, and presentation software is a must.
- Ability to coordinate and delegate work to others.
- Project Management skills is an advantage.
