Job Description
Key Accountabilities
- Managing insurance cases
- Determine the repair time frame for each car to be fixed after accident together with the estimate cost provided to the insurance
- Follow up on the company cars and leased cars quality and present monthly reports about fleet conditions
- Follow up on the insurance claims, which is due to VFE
- Participate with all out workshops in presenting a quotation for denting& painting to insurance companies.
- Obtain an SLA with all insurance companies.
- Ensure that all company/loan cars are insured.
- Negotiate with insurance companies to get the least rate with the best service.
- Calculate the insurance budget amount for the new fiscal year
- Amortize the budget amount throughout the whole fiscal year.
- Follow up on ECU, pool & Managers cars conditions
- Arrange for a quarterly report about all ECU car condition and give a full detail about any abuse
- Follow up on having an updated history fill for all company’s fleet (in coordination with other fleet coordinators).
- Keeping an updated history of all warranty cases / claims
- Ensuring all vehicles are regularly inspected and serviced in accordance with vehicle manufacturers’ recommendations, and maintained to ensure compliance with current legislation
- Inspect company vehicles prior warranty expiry

- Analyze vehicle expenses (identification of unauthorised expenditure)
- Audit fuel accounts – reconcile consumption
- Monitor mechanical condition v costs, e.g. tyre pressures
- Identify driver abuse
- Assess vehicle condition and fuel level on disposal.
- Monitor drivers’ accident records and incident damage cost.
- Generate a monthly report of accident deductions and forward it to the payroll team in order to deduct employees’ amounts related to car accident.
Maintenance Cost Control
- Contract out or 'in-house', specify/ design/ maintain fleet management information system, 'before the event' control, specify maintenance intervals establish written agreements with contractors/ suppliers billing.
- Claim for all component failures, identify failure patterns – even out of warranty, inspect vehicles prior to warranty, evaluate case for extended warranty purchase expiry, claim for policy/sympathetic warranty work
- Standard times or menu pricing

- Check all accounts against authorized costs
- Establish written agreements with contractors/ suppliers
Tyre management/ contracts
- Handle procedures of adding new maintenance & insurance vendors on SAP system.
- Specify maintenance intervals
- Work on having an SLA with all car agent, insurance companies & internal customers.
- Review all maintenance invoices of all car agents dealing with VFE.
- Control / minimize VFE vehicles’ repair cost.
Replacement Policies
- Establish cost effective replacement policies
- Review all aspects of extended replacement cycles and keep the replacement policy under review
- Re-allocate available vehicles that are not 'life expired'
- Dispose of vehicles as soon as they are replaced or surplus to requirements
Warranty and policy claims
- Claim for all component failures

- Inspect vehicles prior to warranty expiry
- Evaluate case for extended warranty purchase
- Claim for policy/sympathetic warranty work
- Monitor and pursue all warranty claims
- To make sure not to overlook component warranty on replacements
Job Requirements
- University graduate
- 4 - 5 Relevant Years of experience
- Insurance & Maintenance experience
- Preferred engineering background
- Professional Expertise
- Good knowledge of vehicles mechanics & problem solving skills.
- Leadership, supervisory skills and working under stress.
- Capable of dealing with maintenance personnel, drivers & governmental bodies.
