Job Description

Operating System

  • Follow the guidelines and prescribed structures as outlined by the operating system
  • Provide continuous input towards improvement and optimisation of the operating system
  • Successfully implement the operating system throughout the structuring and execution phase of the Project

Structuring Phase of projects

  • Manage Procurement Calendar
  • Assist with preparation of bid documentation
  • Make Cold calls to market to obtain pricing on minor items
  • Control and Update templates for Operating System
  • Exercise documentation control and spot checks

Delivery/execution phase

  • Ensure that electronic filing system is kept up to date
  • Obtain pricing on minor items being purchased
  • Prepare the Contracts and forward before submitting to Line Manager for signing
  • Expedite documents routing for approval
  • Distribute Contracts to relevant service / material suppliers
  • Ensure that signed contract is returned, shared on operating system and communicated to Project Team / O&M
  • Assist to expedite critical orders
  • Assist in checking of shipping documentation
  • Update and expedite deliverables of the reporting schedule
  • Ensure that contracts are closed out at end of project

Job Requirements

  • 3+ years’ experience in a similar role
  • 2+ years’ experience in Procurement & Logistics environment
  • Previous experience in PV sector and experience within an EPC company will be advantageous
  • Previous experience on International Projects will be advantageous
  • Demonstrate administration management expertise : Presentation and report writing skills
  • Excellent communication skills, customer and goal oriented
  • Speak and write English fluently. Other language skills like Spanish, German, French are an advantage
  • Independent and self-dependent working
