Job Description

The primary purpose of Executive Assistant role is organizing all of the administrative activities that facilitate the smooth running of GM office. This includes the organizing of people, information and other resources. You must make sure that office equipment is maintained, relevant records are up to date and that all administration processes work effectively.

Duties:

  • Establish office documentation system by controlling correspondences, designing filing systems, assigning and monitoring secretarial functions.
  • Organize and chair meetings with staff including typing the agenda, taking minutes and preparing meeting report then following up results.
  • Maintaining GM Calendar through arranging and scheduling his meetings and appointments.
  • Receiving incoming e-mails & determining which priority matters & alerting the GM accordingly.
  • Answer phone calls and direct calls to appropriate parties or take messages.
  • Communicate with followers, respond to queries in a timely manner and monitor customer reviews.
  • Conduct research, compile data, and write reports for GM and deliver presentations.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Handling all kinds of preparations & arrangements for business review meetings, Conferences or visits.
  • Use a range of office software, including email, spreadsheets and databases, to ensure the efficient running of the office.
  • Make booking and arranging travel, transport and accommodation for GM.
  • Updates and maintains phone lists for GM.
  • Develop and implement new administrative systems, such as record management.
  • Develop and sustain relationships within the corporate, community, media and philanthropic sectors.
  • Build new and stronger relationships with media to include: magazines, newspaper, universities and trade publications.
  • Managing office budgets
  • Prepare weekly & monthly reports by analyzing and summarizing information.
  • Execute any other duties appropriate to the grade as directed by GM.

Job Requirements

Education:

  • B.Sc. of Business Administration or related field.
  • Dynamic and energetic with excellent interpersonal and communication skills.
  • Strong analytical and problem-solving skills.
  • Excellent time management skills and ability to multi-task and prioritize work
  • Fluency in written and spoken English is a must.
  • Proficiency in MS Office (Advanced Excel and Power Point) is a must.
  • A creative mind with an ability to suggest improvements
  • Accuracy and attention to details.
  • Dedication, Motivation, Integrity and excellent team spirit.
