Job Description
- Maintain managing executives’ agenda and assist in planning appointments and board meetings if required
- Attend meetings when needed or when required on behalf of the department or manager and keep the meeting minutes
- Ensure effective telephone and mail communications both ways, internally and externally to maintain a professional image
- Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
- Make travel arrangements for executives when needed
- Handle confidential documents ensuring they remain documented and secure and manage the filing systems
- Maintain an adequate inventory of office supplies
- Welcome and assist visitors or clients coming for meetings to the concerned manager or senior manager
- Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees and boards of directors
- Maintain the office calendar to coordinate workflow, appointments, and meetings
