We are looking for a Private Assistant to support an English/Egyptian family who live between Cairo and London. This pivotal position, will act as the trusted lynchpin for the family, overseeing the smooth running of their daily lives and household when in Egypt. The role will mostly be based in the family home in Katameya, Cairo with some remote working from your own home on occasion.

Duties & desired outcomes are as follows:

#1 The Family has a great experience in Egypt

You will be the primary point of contact for the family when they are in Egypt, responsible for arranging anything they may need. Duties include:

Maintaining a family calendar, booking activities for all members of the family (including children).
Maintaining a log of all individual family member preferences and keeping it regularly updated.
Personal shopping.
Gift/assets research.
Event planning in Egypt - birthday parties, holidays, date nights, hosting guests and special occasions.
Taking on ad-hoc requests and managing projects as they arise (eg, buying a car, finding a nursery, etc).

#2 The Household runs smoothly and effectively

You will be responsible for managing the family's domestic team in Egypt. This team includes housekeepers, nanny, driver, chef, personal trainer, gardeners, etc. Duties include:

Hiring and managing a best-in-class household team in every discipline.
Making sure the team is happy and healthy, with low attrition.
Understanding the team's duties and ensuring they succeed in their work.
Managing team holidays, illness, expenses, etc.
Overseeing the daily menu and the food for the family based on individual dietary preferences.
Overseeing grocering orders and stock taking.
Maintaining a house inventory and liaising with the UK team on supplies from London.
Making purchases for the house as needed (groceries, appliances, etc).
Managing a budget for the household, reviewed regularly with the Finance Manager.

#3 Guests have an experience equivalent to that of a high-end hotel.

From the moment they're invited to visit, you'll act as the primary point of contact for guests. Duties will include:

Acting as the point of contact for guests in the run-up to their stay and during their stay with the family.
Booking flights, airport pick-ups, activities (tours, spas, Personal Trainers, etc) on behalf of guests and/or in liaison with the family’s Senior Private PA in the UK.
Meeting guests at the airport and on occasion accompanying them during activities.
Establishing and maintaining a series of FAQs & Guides that can be shared with guests prior to their stay.
Establishing and expanding a list of high-quality suppliers who can provide special experiences for the guests.
Maintaining a calendar and room booking system to track all guest visits.
Maintaining a record of all guests, visits, trips and individual preferences that can be used each time they visit.

Note, the family may occasionally have guests to stay when the family are not present in the property.

#4 The Property is kept in immaculate condition.

You will be responsible for the on-going upkeep of the property, pool, cars and grounds. Duties include:

Establishing and maintaining a house manual and calendar of all service appointments.
Arranging for suppliers, builders and contractors to address any issues that arise as needed.
Coordinating and directly overseeing any work performed in the house.
Performing regular checks of the property to identify any new issues or problems.
Ensuring the property is safe and secure at all times (security systems, regular reviews, etc).
