Job Description
- Manage CEO and other C level workflow as needed.
- Following up on tasks, proactive in pointing challenges.
- following up on process and policies and making sure work executed in needed time manner with no delay.
- Attend to Flexible work hours even if needed in weekends.
- Accompany CEO in online meetings and follow up on needed preparation and post follow ups.
- Arrange and schedule meetings for the team, take notes and MOMs.
- Make daily/weekly reminder review of needed tasks and follow ups.
- Conduct any research into certain topics or information the executive needs.
- Communicate between the executive and employees, writing memos, distributing emails, scheduling meetings with determined agenda.
- Ensure organization, and execution of all meetings and events, done virtually (knowledge of using any of communication software’s, like Microsoft Team, google meet, some, or any of them.
- Plan events, organizing, and communicating between all parties and document the meetings (take minutes of meetings)
- Manage phone calls, communications with partners, responds, readjust, send emails and filtering important information to executives and perform all related needed work.
- Monitor and follow up on social media posts and content.
- Ability to concentrate and pay attention to details to deliver what is required is mandated.
Job Requirements
- Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
