Job Description
Job Summary:
- She/he will help to keep the organization running smoothly.
- The role is varied but the main tasks are administrative.
Key Responsibilities:
- Performs secretarial duties
- Data entry and managing data bases under supervision of the HC
- Receives and screens office calls and correspondence, responds to routine telephone inquiries; forwards calls to appropriate party
- Arranging all appointments related to kids ( Doctors, activities …etc)
- Creating and maintaining filing systems
- Organizing and servicing staff meetings (producing agendas, taking and sending minutes)
- Prioritizing workloads according to the house coordinator
- Handling correspondences under supervision of the HC
- Coordinating mail-shots and similar publicity tasks
- Schedules and dispatches workers, equipment or service vehicles to carry materials or passengers.
- Records information on each call and prepares detailed reports on all activities occurring during the shift.
- Communication skills and the ability to work under pressure are important
- Manage calendar for Managing Director
- Assist in resolving any administrative problems
- Screening volunteers forms according to the programs director needs
- Scheduling and collecting money for the paid classes (Swimming, arts ...etc)
- Give Tours for visitors
- Art Room follow up and responsible for locking the room at 5:30 PM
- Collecting IT issues and send it to the IT responsible
