Job Description
- Supervise office staff
- Update organizational memberships
- Maintain office equipment
- Ensure protection and security of files and records
- Ensure effective transfer of files and records
- Check stock to determine inventory levels
- Ensure operations run smoothly within departments such as information and data processing, mail, materials scheduling and distribution, printing and reproduction, records management, telecommunications management, security, recycling, wellness.
- Recording office expenditure and managing office budget
- Organizing the office layout and maintaining supplies of stationery and equipment
- Supervising and monitoring the work of the office boy(s)
- Keeps management informed by reviewing and analyzing special reports, summarizing information.
- Maintain a safe and secure working environment
- Arranging travel, meetings and appointments.
- Manage relationships with vendors, service providers, , landlord, etc.. ensuring that all items are invoiced and paid on time
- Co-ordinate with the accountant and lawyer to handle the office needs
- Pay medical office bills.
- Arrange for emergency maintenance visits for office
- Submit claims to insurance.
- Manage contract and price negotiations with office vendors, service providers and office lease
- Provide general support to visitors
- Ensure contracts, insurance requirements, and government regulations are followed properly.
Job Requirements
- Previous Experience as an Accountant and exposure in Administration Field.
- Must be a graduate from Faculty of Commerce
- Managing Processes
- Able to supervise others
- Good oral and written communication skills
- Aptitude for working with computers
- Good organization skills
