  • Will be reporting to the Office Manager - Chairman's Office
  • Location Maadi
  • Office Hours from 9:00 - 6:00 PM (Might be Extended for Business Needs)

Position General Summary :
  • Create, implement and oversee the new hire training and ongoing training opportunities for all Administrative Assistants, Senior Administrative Assistants, and Executive Assistants, including planning and presenting monthly assistant meetings to clarify expectations, ensure expectations are met, and confirm trainings are successfully completed and properly documented
  • Provide coaching and team building opportunities for Administrative Assistants, Senior Administrative Assistants, and Executive Assistants by working closely with Chief Officers and Directors to identify and address coaching and mentoring needs
  • Develop operating procedures and processes to ensure effective and efficient Executive Office operations
  • Manage and maintain the schedules for the President/CEO, obtaining and providing relevant information for scheduled appointments
  • Schedule offsite travel (hotel, flight, rental car, meeting agendas, presentation location needs, etc..) in compliance with organization policy and state laws and regulations for designated executive personnel
  • Develop presentations to include general preparation, identifying resources, collateral and presentation materials, equipment needs, producing scripts, and creating PowerPoint slides
  • Coordinate and oversee all executive level outreach efforts and internal communications in conjunction with the Community Relations Department
  • On behalf of President/CEO, prepare correspondence and other material requiring considerable judgment and knowledge of FLVS operations; screen, trace, file, retrieve, and coordinate all incoming and outgoing correspondence and necessary paperwork directly related to the overall management of the organization
  • Represent President/CEO as principle contact for and liaison with internal and external stakeholders, including public officials and their staff, community leaders, and the general public
  • Liaise with Board of Trustee members, internal staff, external clients, legislative officials, high level executives, and advisory board members on behalf of the President/CEO
  • Provide supervision and general project management oversight for special requests by the President/CEO to ensure project success and timely completion
  • Gather and report on defined executive operational metrics
  • Organize and maintain contracts, records, and other essential documents; archive outdated information in accordance with records management compliance
  • Manage and lead assigned direct reports, including planning, organizing, and reviewing work, setting performance expectations and ensuring opportunities for professional growth
  • Maintain strict confidentiality standards for all work-related information
  • Meet professional obligations through efficient work habits such as: meeting deadlines, honoring schedules, coordinating resources and meeting in an effective and timely manner, and demonstrates respect for others
  • All work responsibilities are subject to having performance goals and/or targets established

Job Requirements

  • 5-7 Years Exp. as Admin Assistant or Office Manager
  • Ideal Candidate would have Exp in Multi-National org.
  • Relevant University Degree
