Job Description
- Coordinate and manage P&S department events, meetings, travel arrangements, P&S expenses and manage all document workflow.
- Responsible for weekly and monthly reporting, projects filing and documentation.
- Gather collective projects information from all P&S teams; managers, experts and others.
- Manage the filing and record keeping of all employees related documents such as HR, stationary and office supplies, office equipment.
- Ensure P&S facilities requests are communicated and implemented .
- Attend meeting and provide minutes of meeting, agenda and following on action point.
- Issue and follow domestic and international travel arrangements.
- Compose and prepare memos, correspondence, agreements, reports and other professional documents using automated systems including Microsoft word, Excel and Power Point.
- Plan meeting schedules and events.
- Organize files and work area, maintain historical reference and data records.
- Prioritize and perform a variety of tasks with minimal direction.
- Use specific knowledge of airlines, airports, ground transportation, cities, and accommodations to make thoughtful, well-planned travel arrangements taking into account individual preferences, budget and time constraints .
- Conduct productive internet information searches as needed.
- Handle requests aiming at meeting tight deadlines and rearrange multiple priorities.
- Prepare expense reports, purchase requisitions, process invoices, and track deliverables and payment status order.
- Maintain various office supplies / equipment and assist in special projects as needed.
- Maintain organizational charts, headcount and staffing requisition records.
- Handle the team bi-annual appraisal start and end (How/ What) in liaise with HR and the P&S management.
- Perform monthly management of the bulletin board and the team recognition.
- Manage the headcount, hiring status and the organization maintenance with HR and internal management.
Job Requirements
Education
- Bachelor degree from a recogaized university; English or French department.
Experience
- Minimum 2 years experience in administrative works.
- Skills and abilities
- Very good Englsih both spoken and written.Good knowledge of Microsoft.Good communication and presentation skills.Ability to organize, multi-task and meet deadlines.Ability to perform work under stress.Punctuality and organization.Ownership and responsiveness.
