Job Description

General Job Description:
A purchasing executive is in charge of buying daily, weekly, monthly and yearly supplies, products and services with the lowest price, while maintaining the highest quality, required quantity and time.
Duties and tasks:
  • Negotiates favorable contractual terms and conditions for CISE with suppliers.
  • Build strong relationships with suppliers/vendors.
  • Plan and process the purchase of school capital items (Furniture, Equipment, etc) and educational material orders (Textbooks, Stationeries, Teaching Aids etc)
  • Liaise and communicate with internal departments on purchase requisition & specifications.
  • Handle purchases of academic and non-academic materials from point of order to ensuring receipt of items in good order.
  • Source for quotations and liaise with vendors to purchase items and services as requested.
  • Involve with negotiation and preparations of service contracts.
  • Assist with the forecast and monitoring of the budgets.
  • Issue Purchase Orders (PO) to vendor upon confirmation of order.
  • Choosing the suppliers that the school will deal with and maintaining the legal interaction with them.
  • Collate purchase orders and purchase requisitions in order to order materials, goods and supplies.
  • Review inventory and order as required.
  • Check with the warehouses availability of the items prior to buying it.
  • Interact with the suppliers on a day to day basis.
  • Review deliveries against the orders.
  • Track the status of any orders.
  • Deal with non supplied, under orders, over orders and damaged goods.
  • Ensure that any invoices are sent to accounts for payment.
  • Produce and maintain all reports.
  • Manage any procurement activities including RFP’s (Request For Proposals).
  • Undertake all word processing that is required.
  • Undertake all filing as required.
  • Maintain any diaries that are in the office.
  • Arrange and attend meetings, taking minutes if necessary.
  • Generally help out with smaller purchases, reviews and inventory matters.

Job Requirements

  • At least one year of relevant working experience in purchasing and procurement. preferable in schools,  nurseries, or educational institutes.
  • English is a must.
  • Good interpersonal and communication skills.
  • Good computer skills and conversant with use of general office software.
  • Experience in using purchasing and vendor management software
  • Meticulous and accurate with numbers and details.
  • Work well under pressure.
