Job Description
Job Purpose:
- The Office Manager is responsible organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency
- Technical Directorate Office management duties:
- Organize office operations and procedures to ensure effectiveness
- Maintain Records and files and control correspondences, and protection and security of files and records
- Acts as a liaison with other offices, and directorates
- Final Billing Duties:
- Receive final billing statements from the Executive Secretary and dispatching them to the Technical Office Engineers
- Acquire proper verification for final billing statements from the Technical Director and saving a scanned copy before processing to the Financial Department
- Processing Technical Directorate Department reports into a final report for the Technical Director
- Process weekly reports from the Technical Departments to the Technical Director and archiving a scanned copy
- Keeps management informed by reviewing and analyzing special reports; summarizing information; /identifying trends
- Assists in providing routine information to high level personnel
- Receives incoming telephone calls and provides answers to routine and complex inquiries
- Open, sort, and deliver mail
- Maybe asked to provide secretarial duties to other department managers
- Composes correspondence for supervisor’s review and signature
Job Requirements
Qualifications/Experience:
- Bachelor's degree
- 3-5 years of similar experience
- Arabic: Fluent
- English: Very good
- Ability to use the main MS Office applications (Word, Excel, PowerPoint, Visio)
- Demonstrated high communication and organizational skills
- Demonstrated ability to perform duties with minimal supervision
- Frequent use of hands required
- May require to be in a prolonged seated position
- Maybe required to perform tasks outside of the office
