Job Description

  • Maintaining and updating monthly schedules.
  • Organizing departmental functions, workshops, meetings and conferences.
  • Drafting, reviewing, organizing and managing all inbound out outgoing correspondence.
  • Ensuring timely and efficient distribution of incoming and outgoing correspondences.
  • Maintaining constant contact with the respective managers at all times during their respective travel.
  • Ensuring confidentiality of company documents and information and ensuring critical/original documents are filed safely.
  • Ensuring an organized filing system is in place that makes retrieval and archiving efficient.
  • Liaising with Public Relations Dep’t regarding obtaining visas & ensuring visa deposits are done on time.
  • To coordinate & organize travel/accommodation/car hires/airport transfers etc.
  • Ensure a holiday schedule is in place for the Regional Ops Staff.
  • Obtaining discounted tickets from the approved Airlines & the best room tariffs for Hotels & Furnished Apartments.
  • Ensuring refund letters are issued on unused travel sectors & follow up on credit notes.
  • Acting as AMEA contact for Admin Assistance required by countries i.e. Visitors needing assistance on visas, accommodation, airport transfers etc.
  • SAP vendor weekly report for F&A.
  • Prepare regular stops reports analysis to be raised to the OPS Manager in a monthly basis.
  • Payroll tasks for OPS (Overtime, Commission, Bonus, Sales Lead).
  • Follow up life cycle for OPS sales lead.
  • Make monthly & regular analysis for OPS Over time.
  • Monitor & follow up employee of the month in OPS & F&A and be sure for the right scheme and right selective.
  • Consolidate & calculate F&A monthly overtime.
  • Covering GM office MGR.
  • EBO SAP rep. at F&A. (ex. All travel shopping carts on behalf of the F&A employees).
  • All reports & questionnaires at F&A and OPS (LOR, Legal, CWC, SDR, Risk Management …etc).
  • Assists in the day-to-day, organizing & communicating with all the employees at OPS and F&A and other DEPTs
  • First aider & ISO key person in the OPS and F&A DEPTs.

Job Requirements

  • Excellent command of English Language ( Spoken and written )
  • Very good computer skills. Specially Microsoft office
